The team will contact you on receipt of this form, having checked availability and ensuring there are no similar stalls. Once checked, a stall number will be allocated and payment will be due within 3 days to confirm your booking.

💰Important Payment Note: To help us make sure every available spot goes to committed stallholders, we now require payment upon acceptance. Once your application is accepted, your space will be held for 3 days to allow time for payment. Thank you so much for your understanding and cooperation with this!

⛺ Stall Sizes & Pricing

Please note that we provide the space only—you will need to bring your own gazebo!

  • 3m x 3m Stall: £30.00 (to fit a 3m x 3m gazebo)
  • 3m x 4.5m Stall: £35.00 (to fit a 3m x 4.5m gazebo)
  • Charity Spaces: £15.00 each (limited availability, allocated on a first-come, first-served basis)


📏A quick heads-up on sizing: To help us place you in the absolute best spot, please make sure to state your exact gazebo size when applying. Any gazebos larger than the booked dimensions unfortunately cannot be accepted due to space limits.


⚠️ A Few Important Safety Notes

We want everyone to have a wonderfully safe and joyful time! Because parts of the event site (like the car park and pathways) can have lower lighting and uneven surfaces, we kindly ask everyone to wear comfortable footwear and take extra care walking around as the evening sets in.


  • Supervision: Parents and guardians, please keep a close eye on little ones at all times.
  • Liability: By attending, guests acknowledge they do so at their own risk, and organizers cannot be held liable for accidents, slips, or trips resulting from surface conditions or lighting.

Christmas Festival Stall Enquiry Form 2026


Stall Holder Key Information

Thank you very much for your interest in the Southwater Christmas Event. This year we have a fantastic line up of entertainment and attractions, so we are hoping for a great turn out.

Payment
Payment for stalls will be taken by Bank Transfer only and should be made upon receipt of confirmation of acceptance. Full payment details will be provided in the 
acceptance confirmation form.

Insurances
As a stallholder, is it a requirement for you to have Public Liability Insurance – please email in a copy to 
southwaterstalls@gmail.com. If you need help with this, please do let us know. Proof of insurance, and if a food vendor, the relevant food hygiene and safety certificates should be submitted to us within 3 days of confirmation of acceptance. Please note: we will be unable to host your stall at the event without this information.

Venue
Please be aware this is an outside event so please be prepared for all weather conditions. You will need a gazebo (see above) so please ensure that you have suitable weights to secure your gazebo legs to the concrete ground in the event of adverse weather conditions. Please note: Southwater Community Partnership to do not have spare equipment for this purpose.

Important information for the day
This year we will be using a three-tier arrival system with designated times for inner parking and outer parking. Once you have submitted your application form, we will send you an acceptance form which will include your stall number and your allocated arrival time.

  • All vehicles must be removed from site by 11:30am
  • No vehicles can be brought onto site until the event ends at 4:30pm
  • Please be aware that the morning set up will be very busy and so we always ask all vehicles to have their hazard lights on and keep to a 5mph speed limit.
  • You will have to provide your own table / stand and seating.
  • Please note there is no electricity supply available.

 
On this occasion stall holders will be able to park in The Ghyll overflow carpark (behind Beeson House, at the back of Lintot Square)
 
If adverse weather conditions are forecast, we will let you know as soon as possible. In the event that we have to cancel due to adverse weather, your payment will be fully refunded. Please note that refunds are
only issued in the case of adverse weather conditions.

The event will be advertised on our Facebook pages and Instagram pages as well as our local Southwater Community pages so please feel free to share and invite your own followers to come along to the event and support the community!
